The University of Iowa Administrative Services Specialist position located within the Department of Public Safety’s Key & Access Services division will provide administrative support for various programs within Key & Access Services (KAS) including Openings Studio Hardware, Simple K, and AMAG in addition to supporting KAS staff in managing service agreements, creating building master key systems, and acting as a liaison between staff and customers.

This position is performed fully on campus.

Duties to Include:

  • Daily support of Openings Studio Hardware Specification Management
  • Oversee use of specifications, blueprints, as-builts and construction documents and inspect work to confirm it meets University requirements.
  • Manage professional Services Agreement with outside Architectural   Hardware Consultants on new construction and remodel building projects.
  • Interacts daily with a variety of persons to coordinate processes/procedures.
  • Supports leadership and staff with administrative tasks, coordination and organization as required.
  • Manage the implementation of supporting construction documents for use in Openings Studio software for the technical engineering team.
  • Support the administrative functions regarding security technology systems.
  • Support of various programs within the department in both billing and communications with internal staff and external customers.
  • Assist with the creation of building master key systems acting as a liaison between technical staff and customers.

Location: University Capitol Centre

Schedule: Monday through Friday, 8:00am-4:30pm

Pay: $44,000 to commensurate

About Key & Access Services:

The Key Services Shop is responsible for the security of all building doors, safes, vaults, files and locking devices, and grand master key systems through installation, maintenance and repair of a wide range of locking mechanisms and related hardware.

Required Qualifications:

  • Bachelor’s Degree or equivalent combination of education and experience.
  • Experience (typically 1 year) in a fast-paced administrative position.
  • Excellent written and verbal communication including the ability to work and communicate effectively with faculty, staff, students, administrators and executives such as dean, directors, department heads.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel.
  • Demonstrated ability to provide high level customer service.

Desired Qualifications:

  • Experience in design and construction industry/understands design and construction industry terms.
  • Ability to read/understand construction documents.
  • Proficiency with relational database and computer systems.
  • Familiarity with University policies & procedures.
